Does Computerize Your Assets allow UPC bar code scanning?

The short answer is no.........

We looked into incorporating UPC code scanning into CYA when it was first designed. However, after carefull evaluation it was decided the benefit ratio just wasn't there for many reasons:
  1. The size of the database that would have to be distributed with the software for the lookups is extremely large.
  2. Information in the data base is changing constantly so would require frequent updates. ( Weekly? )
  3. The only effective way to utilize UPC bar codes is to scan them. The act of scanning and lookup is very straight forward and simple but accessing the bar code on an item with a scanner attached to a computer would be a bit of a challenge.
  4. It is doubtful anyone even owns a scanner or would buy one.
  5. The item data can be entered into CYA extremely fast thereby diminishing the value of scanning.
  6. Most of the items in the household having the highest value do not have bar codes ( Jewelery, Collectibles, Firearms, Antiques etc. )
  7. Scanning does not tell CYA the location of the item in the household.
  8. Scanning does not identify the item category.
  9. Scanning does not identify where the item was purchased.
  10. Items 7 thru 9, and more, still requires manual input so there really isn't much helpful information that can be retrieved by scanning.
Rest assured, if it were simple to implement and our users could benefit from it, we would have included the ability to scan bar codes a long time ago.

We are proud of our software and what it does for our users. However, we just do not see the benefit in adding UPC code scanning.

Hopefully this won't dissuade you from choosing Computerize Your Assets ( CYA ) as your home inventory software.

Asset Item Catalog

I have two houses. How can I use the program for each individual house. How can I create separate catalogs for house 1 and house 2 supposing each house have the same objects, same rooms, same furniture, etc. ?

The "Extended" version of CYA provides the features you seek. You may inventory as many properties as you like and each is kept separately.

It is, however, highly unusual that 2 homes would have exactly the same rooms and furnishings in each room. CYA does not currently provide a method to "clone" a home inventory but it can be done. We would certainly be available to assist you in that endeavor.

Move CYA to my new computer

When Computerize Your Assets was first created it was carefully planned. We understood that throughout the life of your project, there was a 99% probability you would be faced with the task of moving CYA to your new computer. This has never been a pleasant task and can be risky if the move isn't carefully planned and executed.

The good news is that we have removed the fear of this task. We have actually made the move quite simple. Following the outlined steps below will make your move effortlessly.

Step 1:
Make certain your existing copy of CYA is the most recent release on your old computer. As of the writing of this article the current release is v2.5. You may either select the "Check For Updates" menu selection from the "Help" menu on the main program frame or simply download the latest version and install it. If the link fails copy this URL and paste it into your web browser. ( http://dl.filekicker.com/send/file/164209-U2PR/cya.exe )
TIP! Save the downloaded install file ( cya.exe) to your desktop so you can locate and run it easily.

Step 2:
After making certain you are running the latest version you must first create a "COMPLETE" backup on your old computer. Actually, if you have been following good practices you should already have the files saved off somewhere on a USB (recommended) or burned onto a CD. To make your task even more simple don't forget to check the "Create Self Extracting Executable" box.

In a nutshell, what will happen is CYA will gather up  ALL program files, data files, images and compress everything into an industry standard ZIP file. Then a self extracting executable (EXE) file will be created from the ZIP file. This allows you to execute the file instead of relying on any type of zipping tool.

Copy the resulting ZIP and EXE file onto your USB flash drive.
Backup and create self extracting executable

Step 3:
Plug your USB Flash Drive containing your backup files into your new computer. Using Windows Explorer or My Computer, navigate to the USB drive and locate your backup file with the EXE (Program File) extension. Double click on this file with your left mouse button to execute it.

Locate backup EXE file to run

Click the "Ok" button to continue with the recovery.

Self Extractor screen One

Step 4:
The self extracting executable will automatically default to the same folder name and drive where it was installed on your previous computer. Generally it is appropriate to simply accept the default but you may certainly optionally change the location if you wish.

Continue with the self extracting process

Click the "Unzip" button the restore your entire CYA application and data onto the new computer.

Step 5:
Because CYA has been moved, there will be no shortcut icon on the desktop, nor will there be menu selections on the Windows Start menu. You will need to "manually" start the application.

Open either Windows Explorer or My Computer and navigate to the drive and folder where CYA was restored. You will need to locate the program file "CYA2DAY.EXE" and execute it.
Manually execute CYA the first time
When CYA executes it will determine things have changed. You will offered the opportunity to register CYA on this new computer. The system remembers your registration name and key and will register the application if you accept the offer.

If you decline the registration offer CYA will run in "Trial" mode and discontinue allowing use after 30 days us.
Re-register CYA

If you declined the offer to register CYA you will be offered the opportunity to have the system create the "Start" menu items and an icon on the desktop.

It is highly recommended you accept the offer or you will be required to run CYA manually every time you need to run it.
Alternate

That's it! With just a couple of mouse clicks you have painlessly moved CYA from your old computer onto your new one.

Life goes on.

Computerize Your Assets Security System

Logging into Computerize Your Assets

Creating CYA Security Users

Computerize Your Assets has a very robust security system built in.

It is unique in a couple of ways and your first attempt at invoking the security may confuse you. The CYA security is designed in such a way that when "Users" are added they each manage their own password and can (should) change them frequently. Because of this unique design the Administrator/Supervisor does not manage the passwords.

The first "User" that is created automatically and is given "Supervisor" responsibilities so be certain the first account you create is for yourself. The following tutorial illustrates adding the first user (You - Supervisor) to the system. Often if all you require is to prevent other users of your computer from having access to your home inventory information, this single user is all that you may require. The addition of more users into the security file is identical.

Because each user added to the CYA security system, including yourself, will manage their own password, the password is "automatically" by the system when the user is created. The password that is assigned is exactly the same as the entry typed into the "Login Code" field.

HINT!  The Login and Password are always case sensitive.

The screen shot below illustrates the addition of Peter Smith. Peter is assigned the Login Code of "peter" and his password is set automatically by the system to "peter".

When you have correctly typed in the information in the entry fields and click the Ok button, you will again be reminded about the password being automatically assigned by the system. The password assigned to the user in our example above was "peter". This reminder screen provides an opportunity for you to optionally send the users information to your printer. See an example of this reminder screen below.

At this point Peter Smith has been added to the security file. Remember, this example represents the first user so Peter also has full supervisor control.

Peter now needs exit CYA and run CYA again.

This time a "User Login" screen will be displayed forcing Peter to now have to log in to CYA. He will log in as "peter" and enter his password as "peter". Remember, the Login Code and the Password are the same at this point. The screen shot below illustrates the log in screen.

Now that Peter has logged in, the very first thing he needs to do is change his password. Clicking on the menu "Setup > Security" reveals a new menu item ( Change My Password ) is now  available. Selecting this menu item opens a screen to accomplish this. This is the same place each user goes anytime they want to change their password.

Changing the password will always involve entry into three fields. They are:
  1. Current Password - This is the password you used to log into CYA this session
  2. New Password - Type in your desired new password
  3. Verify Password - Type the above password in again to verify it is identical
The password can consist of any combination of letters (Upper and Lower Case), numbers and special characters found on the keyboard. It is also important you remember your password is "Case Sensitive". See the screen shot below for example.

Once the new password has been entered, and accepted, it is the one that must be used to log into CYA from now on.

One very important thing to keep in mind regarding using the security system:
There is no secret back door method of gaining entrance to CYA if your password is forgotten. If you have forgotten your password, you will need to contact CYA support at support@cya2day.com for assistance.

Installing Computerize Your Assets

Possible issues involving the installation of CYA on your computer

Will Computerize Your Assets work on my 64-bit Vista or Windows 7 machine?

Computerize Your Assets will run just fine on a Windows Vista or Windows 7 64 Bit operating system provided you do not install CYA into the "C:\Program Files" folder.

Without going into a great deal of detail, both the Vista and Wndows 7 systems have an enhanced security system called UAC ( User Account Control ) which prevents writing to "any" files contained in this folder.  Installing into the default suggested folder prevents this problem.

CYA Install fails with Error #00001:000-4

This error is usually caused by an aggressive anti virus program. The main one seems to be Kaspersky. Read more about it at:  http://www.lindersoft.com/forums/showthread.php?t=16036

The fix, or workaround, is to download the CYA installer, disable Kaspersky (or other AV software), install CYA and then re-activate your AV software.

CYA continues to work in Trial mode even after entering my registration key

We have had a few isolated reports from users describing a similar issue. Generally, we have found it is related to your anti virus software. CYA is attempting to write a required entry into the Windows Registry which your anti virus software is preventing. In doing so, the AV fails to inform either Windows or the software that it has done so.
