Support and Lookup File Maintenance Descriptions Computerize Your Assets is designed to eliminate as much keyboard input as possible and uses support files to a great extent. What this means is, for each of the files you are only required to enter data from the keyboard once and from that point execute lookups into the support files and select it for input into other files. This eliminates the possibility of having several different spellings for the same data. These file can be accessed and maintained separately. However, anytime you are required to select data from one of the support files you have the option of adding a new record at that time. This prevents the need to stop your data entry process to maintenance a support file. Although the program shipped with most of the support files containing some of the more popular data elements, you are free to use the defaults, change any of them to your liking or simply delete them all and create your own personal list. We have made every effort to make Computerize Your Assets as flexible as possible and work the way you want it to work. The support files consist of: Appraisers | • | Listing of companies or individuals that have performed appraisals for any of your items or assets |
Categories | • | Inventory items and assets are assigned a category when entered into the catalog. An example of a category could be furniture, electronics or tools. Although the initial install file contains a brief listing of the more popular categories, you are free to add as many as you care to with a description of your choice. Category is then used as a sorting field for report and graph grouping. |
Conditions | • | This lookup simply designates the condition of the item when purchased. |
Item Codes | • | Item codes are really just another name for your inventory items. Example: How many "Chairs" do you have in your home? How many "Beds"? As explained above, enter it once here and select it from a list later. |
Locations | • | Locations should be thought of as a room or separate area where items are located. These could be master bedroom, garage, outside shed or a storage unit somewhere. Some of the reports and graphs use the location as the sorting field to report data on a per location basis. We have found this information is quite interesting and useful. |
Manufacturers | • | The manufacturer, or brand if prefer to call it that contains significant detail if you care to enter and keep track of it. However, for purposes of reporting and sorting, only the name is used. You are free to enter as much, or little detail as you wish. |
Policy Locations | • | Computerize Your Assets provides the ability to track Insurance and Warranty detail on a per item basis. Generally, a policy is issued to cover such information and this file maintains a listing of each of the locations where you may have stored these policies. This could be a file cabinet in your home, a safety deposit box at your bank or a safe in your home. |
Receipt Location | • | Similar to "Policy Locations", you can designate where your receipt for each item is located. |
Relationships Retailers | • | Listing of the store or company where you purchased the item. The name is the only field required, however, we have provided the ability to store additional data, such as address, phone etc. if you like. |
Status Codes | • | Codes to designate the condition of the item. |
Valuation Types | • | Computerize Your Assets, although not specifically designed for collectors, does provide a current value data field. These values can, and usually are, kept updated as the value of an item changes, such as collectables. The value can be determined in a variety of ways and this file fills that need. |
Warranty Terms | • | This file contains a listing of various warranty terms for lookup. |
Credit Card Type | • | Contains a list of the various types of credit cards for lookup purposes |
Item Owners | • | Contains listing of all persons in your household that can be selected as the owner of an item being entered into your catalog. |
